The golden rules

  1. Consistent format — convert all documents to PDF. Mixed formats (Word, Excel, JPEG, PDF) create compatibility issues and look unprofessional.
  2. Clean metadata — strip author names, edit history, and software fingerprints. The document should speak for itself.
  3. Preserved structure — maintain logical folder organization that matches your index or table of contents.
  4. Verifiable integrity — use image-flattened PDFs for documents where content authenticity must be guaranteed.
  5. Comprehensive index — generate a manifest listing every document with page counts, dates, and descriptions.
